Guidelines for Presenters
Congratulations! Your abstract has been selected for presentation at the 2003 International Conference on Ecology and Transportation. Your first step should be to pre-register for the conference (using the printed form or online form) and indicate your preferred format for receiving your complimentary copy of the final published proceedings.
Please review the following guidelines to assist you in preparing your presentation(s) for the technical session and/or poster session.

NOTE: All ICOET 2003 technical and poster session presenters using audiovisuals and/or submitting a formal paper for inclusion in the proceedings must sign a COPYRIGHT RELEASE form and mailed.

TECHNICAL SESSION
Overview
All technical sessions are listed in the preliminary program. In general, presenters are asked to make 15-minute presentations, and allow an additional five minutes for questions and answers. Each technical session is being moderated either by a member of the ICOET 2003 planning committee or by a representative of the host state agency, New York State DOT. The moderator of each session is listed in the preliminary program. The moderator will contact his/her session presenters by July 18-25, 2003, to discuss logistics and other items. At that time, please inform him/her of any changes needed to your presentation(s) listing(s), including your name, the title of your paper, etc.
Submission Requirements
Technical session presenters are required to pre-register for the conference and to submit the following:
- A paper for publication in the final proceedings (see Guidelines for Authors).
- A brief biographical sketch (no more than one-half page).
- An electronic copy of your PowerPoint presentation (if applicable).
- Signed copyright release form, indicating we have your permission to include your materials in the conference, the published proceedings, and all other printed and electronic documentation generated from the ICOET 2003 program.
Use of Audiovisuals
Technical session presenters will have access to an overhead projector, 35mm slide projector, and video projector with a Windows 2000 PC laptop in a speaker-ready room for reviewing audiovisuals. The same equipment will also be provided in each session room.
- If you are using 35 mm slides, bring them in their own carousel.
- If you are using overhead transparencies, bring your own transparencies.
- If you are using PowerPoint, send an electronic copy of your presentation to:

No later than Friday, August 15 to be preloaded on CTE's laptops, and bring to the conference a backup version of your presentation on CD-ROM or 3.5" disk (no RW CDs or zip disk, please). Please adhere to the following guidelines for PPT presentations:
- Plan on preparing one slide per minute of presentation. In other words, since your presentation time allotment is 15 minutes, you should prepare approximately 15 PPT slides.
- Make sure any high-resolution photos or graphics that you plan to incorporate into your PPT file are formatted for computer screen resolution, not print resolution. Please minimize use of animations; PPT files should not exceed 10 megabytes (that's 10,234 KB) in size; and make sure your text contrasts effectively with the background and that the point size is not smaller than 22 point type! Make sure your PPT slides can be viewed by a large audience (~200-500 people).
- Please note: CTE will not provide handouts of presentations at the conference, as the electronic version of the presentations will be made available for download from the Web site shortly after the conference. If you would like to provide handouts of your presentation to the audience, you will need to either bring them with you or have them copied at the Lake Placid Resort at your own expense.
POSTER SESSION
Overview
The poster session will be conducted on Tuesday, August 26, from 2:00 until 5:00 p.m. Set up will begin at 12:00 p.m., (noon) that day. Each poster display booth will consist of one six-foot-long skirted table and a shared, double-sided, freestanding backboard (6-8' long x 4' high) that rises 4' above the skirted table and is suitable for hanging banners, posters, etc. Outlets and high-speed Internet connections are limited, and available for an additional fee on a first-requested, first-received basis. Presenters should bring their own tape and/or pushpins.
Submission Requirements
Poster session presenters are required to do the following:
- Pre-register for the conference
- Submit in electronic format:
- An updated, one-page abstract of the poster presentation (in MS Word format) by July 25
- A brief biographical sketch by July 25
- PowerPoint presentation (if applicable) by August 15
At a minimum, the conference Web site and proceedings will include a condensed abstract, presenter biography, and, if applicable, an HTML or PDF version of PowerPoint slides for each poster presentation.
Shipping and Receiving
Poster presenters are responsible for any shipping and handling charges related to their display materials. Packages must be sent to Lake Placid Resort with shipping charges PREPAID. Collect shipments cannot be accepted.

To check on the arrival of your shipments, or for any questions about the resort, call Darcy Dangremond, Convention Services Manager, at 1-518-523-2556 ext. 451. Shipments originating from countries other than the US must be cleared through customs. Please call the Official Customs Broker for additional information. Please note that it is the poster presenter's responsibility to assure clearance through customs. Shipments will be delivered to your conference meeting space by Convention Services (x451). If your package, crate, carton, etc., weighs over 60 pounds, charges will incur at the rate of $50/hr for staff time to handle these. All materials handled by Lake Placid Resort Services are subject to their Limits of Liability.
Setting Up and Manning Your Poster Display
You may set up your poster display Tuesday afternoon, August 26, between 12:00 and 2:00 p.m. All poster displays must be taken down by 6:00 p.m. that day. Poster presenters are expected to be at their displays during the scheduled poster session (2:00-5:00 p.m.) to introduce conference participants to their projects and answer questions.
Submitting a Paper for the Proceedings
Poster session presenters have the option of submitting a formal paper for inclusion in the conference proceedings. If you choose to include a paper in the proceedings, the paper must be received no later than September 5, 2003. Should you decide not to submit a paper for the proceedings, you may submit an updated abstract for inclusion by September 5. If you do not submit an updated abstract by the September 5 deadline, we will include your original abstract. Please refer to the "Guidelines for Authors" for further information.
