Guidelines for Exhibitors
Welcome as an exhibitor to the ICOET 2005 program! Please review the following
guidelines to assist you in preparing and shipping your exhibit.
Set Up and Break Down Times
The exhibition area will open officially at 6:00 p.m. on Monday, August 29, coinciding with the conference welcome
reception. You can set up your exhibit between 3:00-6:00 p.m. on Sunday, August 28, and between 12:00 - 5:00 p.m.
on Monday, August 29. You will be notified of your exhibit space assignment at conference registration/check-in.
All exhibit spaces will include a 6- to 8-foot skirted table, one chair, and a waste basket. If you need any additional
equipment, please notify Linda Collier by email or phone (919-515-7990).
Set up for all exhibits must be complete by 5:00 p.m. on Monday, August 29.
Exhibits can remain on display through the week, but must be taken down and cleared from the exhibit area by no later
than noon on Friday, September 2.

Shipping and Receiving
Exhibitors are responsible for any shipping and handling
charges related to their display materials. Packages must
be sent with shipping charges PREPAID. Collect shipments
cannot be accepted. Shipments must arrive at least one to
two weeks prior to the conference start date.
(PLEASE NOTE: The Hilton San Diego Resort at Mission Bay
does not have storage capacity for exhibit materials. Classic
Convention Services is under contract to provide
drayage service for ICOET 2005. Please direct any inquiries
regarding shipping and receiving to Leah Cafagna
of CCS at 858-496-9700.)
Please ship your exhibit materials to CCS and use the
following form to submit your drayage request:

Shipments originating from countries other than the U.S.
must be cleared through customs. Please call the Official
Customs Broker for additional information. Please note that
it is the exhibitor's responsibility to assure clearance
through customs.
